Privacy Policy for Email to Calendar Google Sheets™ Add-on

This Privacy Policy describes how the Email to Calendar Google Sheets™ Add-on (hereafter referred to as “the Add-on”) collects, uses, and protects your data. We are committed to ensuring your privacy is protected.

1. Information We Collect:

  • Gmail Data: The Add-on accesses and processes data from your Gmail account, including email bodies and labels, for the sole purpose of identifying and extracting event information.
  • Calendar Data: The Add-on interacts with your Google Calendar to create new events.
  • OpenAI API Key: The Add-on uses your provided OpenAI API key to call the OpenAI API. Usage of the OpenAI API is subject to OpenAI’s terms of service and privacy policy.
  • No Personal Identification Information (PII): We do not collect or store any PII outside of what is strictly necessary to enable the Add-on’s functionality. We do not collect your name, address, contact information, or any other type of personally identifiable information on our servers.

2. How We Use Your Information:

  • Event Extraction: We use your email content to extract relevant event details (e.g., event title, date, and time) via AI. This information is then used to create events in your Google Calendar.
  • No Data Storage: We do not store any of your email or calendar data on our servers. All processing is done in memory and only during the Add-on’s execution.
  • No Third-Party Sharing (except OpenAI): We do not share your email data with any third-party services, except for processing by the OpenAI API to extract event details.
  • No Targeted Advertising: We do not use any of your data for advertising purposes.

3. Data Security:

  • Data in Transit: All API calls are performed using secure protocols (HTTPS).
  • Limited Data Access: The Add-on’s access to your data is limited to the minimum required for its functionality.
  • User Responsibility: While we take reasonable steps to protect your information, you are ultimately responsible for securing your Google account and your OpenAI API key.

4. Data Retention:

  • The Add-on does not store your personal data persistently. Email content is only processed during the execution of the Add-on. Once processing is complete, data is not stored by us.

5. OpenAI API Usage:

  • The Add-on relies on the OpenAI API to extract event data. You should review OpenAI’s Privacy Policy to understand how they handle data on their end. We do not feed user data into OpenAI for model training; data is used strictly for ephemeral processing to generate event details.

6. Google Account Security and Data Handling:

  • The Add-on uses Google API services. Please be aware of how Google handles your data by reviewing their terms and privacy policies.
  • We are not liable for any data breaches that may happen in Google’s infrastructure.

7. Data Breach Notification:

  • In the event of any breach of security that compromises data on our systems (where such data is temporarily held), we will make reasonable efforts to notify affected users in a timely manner.

8. No Use for Generalized AI/ML Training:

  • Workspace Data Protection: We do not use any data obtained through Google Workspace APIs (e.g., Gmail or Calendar) to develop, improve, or train generalized AI or machine learning models. Our Add-on processes your data only for the explicit purpose of extracting event details.
  • Non-Personalized Processing Only: We confirm that any data processed by the Add-on is handled on a per-request basis and is not stored or reused for any broader AI/ML applications.

9. Changes to This Privacy Policy:

  • We may update this Privacy Policy from time to time. Any changes will be posted on this page, and your continued use of the Add-on after such changes constitutes acceptance of the updated policy.
